Assistance with Requests for Alternate Formats or Communication Supports

Protégé School is committed to ensuring that all individuals, including those with disabilities, have equal access to information and communication. When a person with a disability makes a request for an alternate format or communication support, the following process is followed to provide timely and appropriate assistance:

1. Receiving the Request

The request may be made in person, by phone, by email, or through our online request or feedback form. Individuals may direct their request to any staff member, who will then ensure it is forwarded promptly to the designated Accessibility Coordinator (usually our Program Director).

 

2. Acknowledging the Request

The Accessibility Coordinator or a designated representative will acknowledge the request within five (5) business days and confirm the individual’s preferred format or support method (e.g., large print, audio file, plain language, digital document, screen-reader compatible file, or assistance from a staff member).

 

3. Determining the Appropriate Format or Support

In consultation with the individual, the Accessibility Coordinator will work to identify the most effective and accessible solution that meets the person’s specific needs, taking into account any available technology or supports already used by the individual.

 

4. Providing the Information

The requested information or communication support will be provided in a timely manner, at no additional cost to the individual. Timelines may vary depending on the complexity of the request, but Protégé School is committed to fulfilling requests as promptly as possible.

 

5. Ongoing Support and Follow-Up

If needed, staff will assist the individual in accessing and understanding the information once it has been converted to the requested format. Follow-up will be offered to ensure the format meets the individual’s needs and expectations.

 

Protégé School ensures that all staff are trained to handle such requests respectfully and efficiently, in alignment with the Accessibility for Ontarians with Disabilities Act (AODA) and the Ontario Human Rights Code.
